Coastal Weddings was honored to coordinate Jason and Kim’s big day. The open air sanctuary of St. Andrew’s by the Sea was a gorgeous backdrop for their “I Do’s.”

The reception was a foodie’s delight! The upscale custom brunch buffet featured chef Matt’s bourbon steak bites, egg, spinach, feta and sundried tomato empanadas, brie with raspberry coulis, and many other savory treats. And of course, no brunch is complete without coffee. Wildflower Coffee’s charming coffee cart offered guests a variety of gourmet coffee options with custom his and hers drinks.

Anna St. Angelo outdid herself with a stunning 3-tier seashell cake, classic white cakesicles and a delicious tiramisu for the groom’s cake. The personal touches on this brunch wedding were exquisite.

What Does a Wedding Planner Do?

Wedding planners play an essential role in making sure the bride and groom enjoy their day and that the wedding goes off without a hitch. There are several types of services that wedding planners provide such as day of coordinating, partial coordinating, full coordinating, and wedding design. The right fit for you depends on your budget and the level of involvement you want in the planning process. 

Avoid this Common Misconception

One of the biggest misconceptions that brides have is that a venue coordinator is the same thing as a wedding coordinator/planner. They are most definitely NOT the same thing! Most venues have a venue coordinator that conducts the tours, schedules the weddings, and makes sure the venue and the items the venue provides (i.e. tables, chairs) are in order on the wedding day. Venue coordinators generally do not help with decor, set up, timelines, coordinate other vendors, etc. That is the role of a wedding planner. Some venues have an in-house wedding planner, but most do not. When touring venues, make sure to specify the services that are included.

Day-of Wedding Planner

This service is for the bride that wants to take care of the majority of the wedding planning by herself or with the help of family and friends. A day-of planner is available during the planning process to suggest vendors or answer etiquette questions; however, their duties really begin about two weeks out from the wedding. At this time, the planner calls all vendors to confirm services and delivery/setup times. The wedding planner then creates a detailed wedding day timeline.

A day-of coordinator is the point person for your wedding day. They are available to help set up your personal decorations at the ceremony and reception, direct the ceremony processional, and oversee the timeline. A wedding coordinator is able to problem solve and manage challenges that arise to keep things moving smoothly for both the ceremony and reception.

A day-of planner allows the couple and their family and friends to be stress free on the wedding day, so they can enjoy the festivities and not be burdened with all the behind-the-scenes tasks. Even as a wedding planner myself, I hired a day-of planner to ensure that I was fully present on my special day!

Full-Service Wedding Planner

A full-service wedding planner includes all of the day-of planner duties and so much more. They start wedding planning with the couple on day one and help make all wedding decisions. A full-service planner is available to visit venues and vendors and confirm final selections. They create a detailed wedding checklist and assist in budget allocation and management. Full-service planners can help with creation, ordering, and tracking of all stationary (save-the-dates, invitations, thank you’s). They can also arrange guest accommodations and wedding day transportation. Wedding design includes color palette creation and design concept and can also be included in full-service planning. What Do I Wear to a Beach Wedding?

The beach is a stunning backdrop to say your vows. Here in the Coastal Bend we have miles and miles of gorgeous public beaches to host your wedding ceremony. However, the natural elements of sand, salt water, and wind require thoughtful choices in wedding attire. After planning hundreds of beach weddings, here are my suggestions to avoid a wardrobe disaster on the beach.

Wind-Proof Your Look

My biggest piece of advice for anyone attending a beach wedding is to be prepared for the wind. Even if it is not windy in town, chances are that the beach will be windy. Ladies, you do not want to risk a wardrobe mishap, so either wear a long dress or make sure to wear shorts under your dress. You want the bride to be the talk of the wedding, not your undergarments. 

Before spending hours on your hair, consider that the moisture from the water combined with the wind can really derail your long flowing curls. For a beach wedding, up-dos are a more practical option. Be sure to use lots of pins and hairspray. You don’t want to be holding your hair back in all your pictures. Gentleman, even if you don’t usually use gel in your hair, you might want to for the beach. It will help keep it in place in spite of the ocean breeze.

Do I Wear Shoes?

Take the sand into consideration when selecting shoes for a beach wedding. Although beautiful, ladies, please do not wear heels. Not only will the sand be difficult to walk in, but you will get sand inside your shoes making it terribly uncomfortable. Sandals are a great option for both men and women on the beach. It is even completely acceptable to leave your shoes in the car and attend the wedding barefoot.

My personal favorite for the bride and bridesmaids are barefoot sandals. There are many beautiful styles to choose from. This option keeps your feet looking gorgeous while allowing you to be comfortable walking in the sand – a win-win!

Bride & Groom Attire

The elements of the beach make for a naturally more casual atmosphere. If you are imagining a formal wedding, consider an indoor venue for the ceremony and take your engagement photos or bridal portraits on the beach. Especially in the hot months (spring through fall here in the Coastal Bend), please don’t make your groom wear a full suit. It is hot, sweaty, and uncomfortable and just looks out of place on the beach. If you want a more dressed up look, use a vest or suspenders, not a suit jacket. A nice linen shirt and a pair of dress pants is the classic look for grooms on the beach.

Brides, be mindful of both the wind and the sand. I recommend dresses that are not full length, not too tight, and breathe well. I love the bride’s choice in the picture above. The dress is flowy, has an element of length, but will not get ruined by the water or sand and will keep the bride cool during the ceremony.  Dresses that are too long or have trains pick up all the sand, seaweed, driftwood, etc. along the beach making it look dirty. An alternative to consider if you really want a full length dress is to take bridal portraits before the ceremony at an alternate non-beach location and then bustle your dress for the beach ceremony. 

Beach weddings are absolutely beautiful and the photos are incredible – if you prepare properly for the elements.

Around the Coastal Bend, all shades of turquoise and teal are popular wedding colors. A gorgeous way to turn your guest book into home decor you can display in your newlywed home is a sea glass keepsake. You can use any style of glass vessel and decorate it any way you choose. Provide guests with paint pens to sign a piece of sea glass and drop it in the vessel. (Pro tip – make sure to try out the pens on a few pieces of glass before your wedding day to make sure the color shows up and the pens work properly!)

 

Driftwood Guest Book

A variation of the sea glass keepsake vessel is to use driftwood instead. You can purchase driftwood at craft stores, or walk the beach with your honey to collect driftwood for your wedding. This is a perfect guest book for a beach wedding.

Guests will rave about the delicious, frozen drinks from a margarita machine. Margarita machines are actually very reasonably priced and the company will come and set it all up for you. The machines come with the margarita mix and all you have to provide is the tequila or liquor of choice. Most machine companies offer lots of drink options like pina coladas, blue hawaiians, strawberry daiquiris, hurricanes, etc., plus several different flavors of margaritas. Signature Drinks Only

Instead of providing all types of liquor at an open bar, consider picking two or three signature drinks to serve. The bride and groom should both pick their favorite drink and maybe one more. Narrowing the choices down will save money on buying ingredients and reduce waste and leftovers. It also allows you to pre-make the drinks and have them ready in drink dispensers instead of hiring a bartender. You can come up with creative names for the drinks to add to the fun such as “Mint to be Mojito” or “Love Potion.”

Sangria Bar

Having a beach wedding? A sangria bar is the perfect refreshing drink for your reception. You can pre-make both white and red sangria, have fresh fruit and herbs for guests to garnish their drinks with, and voila, you have a delicious and beautiful drink station! My favorite white sangria has moscato, champagne, white grape juice, and white rum. A classic red sangria has sangria wine, triple sec, and dark rum. Fruits like oranges, grapes, strawberries, blueberries, and raspberries add gorgeous color and amazing flavor.

Maximize Your Budget with an Accurate Guest Count

The number of wedding guests you invite is one of the biggest contributing factors on how far you can stretch your budget. Therefore, having an accurate guest count is so crucial.  I have seen hundreds of couples prepare and pay for far more guests than actually show up.  When this happens, so much of the budget gets wasted (i.e. cost of dinner per person, number of tables and centerpieces, size of cake, number of wedding favors, the list goes on and on).  If you invite 100 guests, don’t plan and pay for 100 guests. It is highly unlikely that all of them will show up. Knowing an accurate guest count can really help you save on your budget. 

RSVP’s are very important to help get an accurate guest count. You should give your guests a very simple way to RSVP through a wedding website or with pre-stamped and pre-addressed envelopes included in the invitation. If it’s not simple and easy, the chances of getting a response drastically decrease. Make sure to give guests a date to respond by and follow up with those who don’t reply.

It’s hard to imagine that some of your family and friends will not show up for your big day, but life happens. Someone is bound to get sick or have car trouble or get stuck at work or have a family emergency. Even some that RSVP they will come might not make it. 

So…how do you know many guests to plan for? After lots of research, event experts have devised a formula to help give you a quick estimate. It is just an estimate, but after thousands of events this seems to be the trend.

For local guests, plan for 85% of invitees attending. Don’t forget to add spouses and children if they are invited!

For out-of-town guests, plan on 55% of them attending. However, if most of them are close family who may go the distance to make it, your estimate could be higher—as high as 85%.

To simplify, use the following equation for a quick guest estimate:

(Number of out-of-town guests x 0.55) + (Number of local guests x 0.85) = Total estimate

Weddings are joyous occasions for family and friends to gather. They are also wonderful opportunities to honor loved ones who have passed away or can’t be there. Small details can make a huge impact and make your wedding even more meaningful. Be creative and remember there is no right or wrong way to honor someone. Here are some ideas I’ve seen: 

Include Family Heirlooms in Reception Decor 

A recent bride had a beautiful antique glass vase from her grandmother that was displayed on her mantel at her home. She wanted to include this special heirloom at her reception, so we turned it into a stunning centerpiece for the head table. You can use any family heirloom or special memento in your reception decor. It will be an amazing conversation piece and a great way to remember your family member.

Wear a Brooch or Piece of Jewelry

Another bride had a brooch that had been passed down to all the women in her family throughout the years. She chose to wear it on her wedding dress. It was a gorgeous pop of color and an incredible way to remember all the women in her family that came before her. Wearing any kind of jewelry from your ancestors is a classy way to enhance your wedding day look and symbolically have your loved one with you on your special day.

Include a Special Piece of Jewelry in your Bouquet

The bridal bouquet is another great way to incorporate meaningful items. This bride chose to include a pocket watch from her late grandfather in her bouquet. She was comforted knowing that he was with her holding her hand throughout the ceremony in such an incredible way. 

Save a Seat at your Ceremony

A ceremonial way to honor a loved one is to reserve a seat for them at your ceremony. You can save the seat with a sign, a picture of them, one of their belongings, or a rope reserving the seat. This is a wonderful reminder to you and your guests of the special place you hold your loved one.

One of my recent brides chose to buy a small cake for her and her new husband to cut at the reception, and serve individual bundt cakes to their guests. Not only was the cake table a stunning display, the guests were delighted to get their own mini bundt cakes. After a delicious meal and hours of dancing, most guests took their cakes home for a late night or next day snack. An added bonus to offering personal sized cakes is that you can order multiple flavors to allow each guest to pick their favorite. The mini bundts were a huge hit without breaking the couple’s wedding budget!

DESSERT BAR

Another cost-effective solution is to create a dessert bar in lieu of an extravagant, and very costly, wedding cake. Choose some of your favorite desserts and display them on trays, bowls, and platters on a decorated dessert table. Guests will love having options and your wallet will thank you.

DESSERT CUPS

Layered dessert cups are a gorgeous way to dress up the sweets table! A recent event of mine had strawberry shortcake cups. The clear cups beautifully highlighted the colorful, delicious layers of angel food, strawberries, and cream. The possibilities are endless – chocolate brownie mousse cups, cheesecake with fresh fruit, black forest trifles, etc. Guests devoured the individualized treats and the couple was able to stay within their budget.

CUPCAKES

Create a multi-tiered look with cupcake towers. Three-tiered serving trays are very popular right now and you can buy them from any store that sells home goods. Renting them is also an economical option. The tiered look mimics a large wedding cake, but can save you a bundle. You can even mix it up and serve different flavor cupcakes so all your guests are sure to get one they love!

When planning an event, there are always things to splurge on and things you can save on. These tips will help stretch your budget a little further and best allocate the funds you have to work with.

SPLURGE: PHOTOGRAPHY

Photography is the one thing to always splurge on. Your pictures are forever. They are the precious, tangible memories you will always have to remember your special day. After all the weddings I’ve done, brides always agree that the money they allocated to photography was money well spent. With photographers, you definitely get what you pay for. Do your research, ask for recommendations, and interview several photographers. Make sure to ask to see their portfolio and read their client reviews. Take your time to find the right photographer and be prepared to pay for their services accordingly. Even though it may seem expensive, when the wedding is over and you have incredible pictures to help you relive your day over and over again, you will be glad you splurged.

SAVE: WEDDING FAVORS

While giving your guests a token of appreciation is a thoughtful gesture, the reality is most wedding favors are left at the venue or sadly even get thrown away. Save yourself some time and hard-earned money and keep the wedding favors simple and practical, if you choose to do favors at all. It really is okay to completely forgo wedding favors. Some great ideas I’ve seen for favors are small candles, vases, or succulents that add to the table decor and double as wedding favors. Anytime you can double-up the use of an item can save you big in the long run.

SPLURGE: FRESH FLORAL BRIDAL BOUQUET

Your bridal bouquet will be front and center for quite a few of your wedding photos. Make sure it stands out! Fresh flowers make a huge difference and can really add elegance to your wedding. You can always save money on fresh flowers by picking ones that are in season, but still gorgeous. Work with a local florist to help you get the biggest bang for your buck. You can use silk flowers for centerpieces and decorations if your budget doesn’t allow for fresh, but always splurge for a fresh bridal bouquet!

SAVE: FULL-SERVICE DINNER

While you want to show your guests a good time and express your appreciation for their attendance, a full-service dinner is not always necessary, especially if you are on a tight budget. A more cost-effective solution is a dinner buffet. You can serve the same delicious meal for a fraction of the cost by simply offering dinner buffet style, rather than your guests being served at their tables. Work with your caterer to ensure a stunning presentation and savory food and your guests will be delighted. They won’t even know what they are missing, and your pocketbook will thank you!
